Records Management - What Is Records Management?





Records management is something that is employed by many companies throughout the world that consider their document management of the highest importance. This can be for reasons of organisation, time-saving or efficiency or all three, which can be pivotal things which ultimately keep the business going.

Records management can also be used in different ways, whether it's physically or electronically. For example, physical document storage in a storage facility is a form of records management, as is digital document management, where the documents are scanned into a digital format such as a PDF and are then saved into a digital database, enabling the files to be searched for and found on a computer rather than physically searching through each document in order to find information.

Digital records management can be used in many different ways and is being increasingly used by companies around the world. Documents can be stored on an individual computer hard drive or they can be stored on an individual hard drive which can be accessed via all the computers on a particular network. It is also possible to host documents over the internet and keep them there. Digital records management has quite literally taken the paper side of document management and literally thrown it out. Using digital document management you can access files that are nowhere near you and are still completely within reach and have all the more options available to you. This enables users to dispose of their old, hard copy documents which could be taking up valuable room or are taking up space in a document storage facility which is costing the company a monthly fee.

However, as previously mentioned, some companies prefer older methods such as the aforementioned document storage of paper documents. This is of course less convenient and is more time consuming when documents are in need of retrieval, compared to the the fast way in which you can do it with digital.
