Library Management - A Scientific Documentation Process





Managing a library can be quite a task given the sheer expanse of the job. A library is forever a 'growing organism'. With the growth of software and data managing devices the concept of documenting library data has been picking up. Library management systems are software programmes directed at data management in a library and are used to track items owned, orders made, bills paid and patrons who have borrowed. Library management systems use relational database which means the database can be interacted with using graphical interfaces.

The main use of a proper management of library database is to increase organization and access to library items. The software help in maximizing search capabilities for users, publicizing diverse resources of the library and minimizing physical, intellectual and time barriers.

The science of library management constitutes of managing the following issues:

Classification, by type and category of books.
Organizing, according to serial number or alphabetical order.
Cataloguing, done to locate the exact location of the books and to maintain a clear representation of the stock
Tracking circulation, information on which member has borrowed which book, whether it has been returned etc.
Data management, regular updating of stock, circulation details, member details
Automation, minimum human effort required, the system becomes automatic
Documentation, exact details of every borrowing, new stock and dealings
